3. Purposes for which we collect personal data
We collect, use, and disclose personal data about our clients, prospects, website visitors, and correspondents for the following purposes. By submitting the onboarding form, story questionnaire, enquiry form, or by paying for a Dr. by Zelix engagement, you are treated as consenting to collection, use, and disclosure for these purposes unless you tell us otherwise.
- To respond to your enquiry and provide information about our services.
- To deliver the Dr. by Zelix service you have engaged us to provide, including research, copywriting, design, development, hosting setup, domain registration, and compliance review.
- To process your payment, issue invoices, and keep accounting records.
- To communicate with you about your project, revisions, approvals, post-launch support, and renewals.
- To perform compliance review against the Singapore Medical Council's Ethical Code and Ethical Guidelines, Singapore Dental Council guidelines, the Healthcare Services Act and its regulations, and equivalent frameworks for clients in other jurisdictions.
- To improve our service and resolve technical issues.
- To send you occasional service updates and, where you consent, marketing updates.
- To comply with legal obligations, respond to lawful requests, and defend legal claims.
4. Deemed consent and notified consent
In line with the PDPA, we rely on your deemed consent when you voluntarily provide personal data for a purpose that is obvious in the circumstances, such as giving us your name and email to receive a quote. Where we rely on notified consent, we state the purpose clearly and give you a reasonable period to opt out before we proceed. For any use that falls outside the purposes listed in section 3, we will seek your fresh consent.
5. How to withdraw consent
You may withdraw consent for the collection, use, or disclosure of your personal data for any purpose at any time, by giving us reasonable notice in writing at privacy@zetamedialabs.com.
Once we receive your withdrawal, we will inform you of the likely consequences. Withdrawal may mean we can no longer provide services to you. We will give effect to your request within a reasonable time, usually within 30 days, and will not charge you for withdrawal. Withdrawal does not affect lawful processing that has already taken place.
6. Access and correction
You may ask us to:
- Provide you with a copy of personal data we hold about you, and information about how it has been used or disclosed in the past 12 months.
- Correct any personal data about you that is inaccurate or incomplete.
Please send access and correction requests to privacy@zetamedialabs.com. We may need to verify your identity before fulfilling the request. The PDPA allows us to charge a reasonable fee for access requests; we will tell you in advance if a fee applies.
7. Transfer of personal data outside Singapore
Some of our service providers process personal data outside Singapore. When we transfer your personal data overseas, we take steps required by the PDPA to ensure a standard of protection comparable to the PDPA, including written contracts binding the recipient to protective obligations.
8. Accuracy and retention
We make reasonable effort to ensure that personal data is accurate and complete, especially when it is likely to be used to make a decision that affects you, or disclosed to another organisation. You help us do this by keeping your contact details up to date.
We retain personal data only for as long as the purpose for which it was collected remains valid, or for the duration of any retention period required by law. See section 6 of our Privacy Policy for specific retention periods.
9. Protection obligations
We maintain reasonable security arrangements to protect personal data in our possession or under our control, including administrative, physical, and technical measures proportionate to the sensitivity of the data.
10. Complaints
If you believe we have handled your personal data in a way that does not comply with the PDPA, please contact our Data Protection Officer first so we can address the issue. If you are not satisfied with our response, you have the right to lodge a complaint with the Personal Data Protection Commission of Singapore:
- Website: pdpc.gov.sg
- Complaints portal: Data Protection Enforcement (PDPC)
11. Changes to this notice
We may update this PDPA Notice from time to time. The "Last updated" date at the top will reflect the most recent revision. Where we rely on your fresh consent, we will seek it before making the change effective for you.
